Customer Service
An event manager or other facility staff will check in with you at the beginning of your event to ensure that your setup is correct and to assist with any last minute questions or changes. During your event, you can request assistance by using the courtesy phones located in most facilities, or by calling our friendly and helpful Customer Service staff directly at 206-684-7200; they will ensure that appropriate assistance is dispatched to handle your request. Other Seattle Center staff (identified by uniforms or ID badges) that may be working nearby will also be happy to help, just ask! The Customer Service phone number is also useful as a general information number to give to event attendees in case they have questions about directions, parking, schedule, Seattle Center services and attractions, etc. General information can also be obtained at our website, http://www.seattlecenter.com.
Decorations
Guidelines for decorating vary for each facility. In general, no tape, adhesives, tacks, nails etc. may be applied to facility surfaces. Some venues have tackable surfaces provided and/or attach points for banners. Some banners and decorations may need to be hung by Seattle Center stagehands if lift equipment is required. Please consult your Event Service Representative to discuss decorating options for your facility. We thank you for your help in keeping Seattle Center facilities clean and undamaged during your visit! Deliveries We regret that with very few exceptions we are unable to accept deliveries of event materials prior to your event. Please make arrangements for any deliveries to arrive when you or your representatives are in the facility on your rental day(s). Contact your Event Service Representative with any questions or concerns about deliveries. Insurance Most event promoters are required to have liability insurance for their Seattle Center event and to name the City of Seattle as an additional insured. Your Sales Representative will inform you if this applies to your event, and your Facility Use Agreement will outline the levels of coverage required and the documentation to be submitted prior to the event. Marketing When you hold your event at Seattle Center, you can take advantage of our many complimentary promotional services. Your event will automatically be listed as an upcoming event on the Seattle Center website as soon as it is contracted. We can post event posters or flyers that you provide in the kiosks located throughout the Seattle Center campus in advance of your event, reaching the wide range of audiences who visit our grounds every day. Readerboards are included with some facility rentals for your event message. Any event advertising should include the appropriate Seattle Center logo and needs to be approved by us before it goes to print. Ask your Sales Representative how to access all of the above services. Procedures Your Event Sales Representative will assist you in determining the best facility to meet your needs and will verify date availability. Please provide as many details as possible when describing your event to help us understand your needs. To speed the process, please try our on-line Booking Request form. Please note, first time clients may be required to submit an Application and undergo a reference check before dates can be put on hold. Your Sales Representative will inform you if this applies to you. Click here to download the Application form. Once you have chosen your facility and confirmed your event date(s), your Sales Representative will issue a Facility Use Agreement. Rental dates are not confirmed until this contract has been fully executed and your payment received. Your facility use fees plus a contingency deposit (i.e., security deposit) need to be paid in full prior to the event, by the due date(s) specified in your contract. We regret that we do not currently accept credit cards; please pay by check, cash, or cashiers check. Once contracted, your event will be assigned to an Event Service Representative (ESR), who will personally coordinate all Seattle Center labor and services for you. Your ESR can answer your questions about logistics, permits, floor plans, tables, chairs, stages, etc.; will determine any required staffing; and will estimate your additional expenses. Following the event, your ESR will issue a final bill for the additional expenses you incurred. These expenses will first be deducted from your paid contingency deposit. Any amount still due will be invoiced, net 30 days. Any balance remaining will be refunded to you. For ticketed events, such as concerts at KeyArena or McCaw Hall, settlement of event expenses will take place in person the day of the event with your Sales Representative or building manager. Parking Over 3,400 spaces are available in Seattle Center's two garages and four lots with easy access to Interstate 5 and Highway 99. Click here for directions, rate information, and a map of parking facilities. Two or more parking passes are included with each day of facility rental for show management's use. If you would like to pay for or subsidize your guests' parking, our Transportation Services department can arrange this for you through a coupon that you design and distribute. We bill you following the event, only for what is used. Click here for information and an order form on the coupon program. Bus, truck, and oversize parking for your event vehicles is available in the Fifth Avenue Lot. Please contact your Event Service Representative to inquire about rates and to order parking passes in advance; these can be added to your final event bill for your convenience. Permits All exhibit shows, KeyArena concerts, and other events with variable or unusual configurations must have a Special Event Permit from the Seattle Fire Department. You are responsible for obtaining this permit by applying to the Fire Marshal's office directly and paying applicable fees; click here for application forms and information. Your Event Service Representative can assist you in understanding the process and determining your floor plan. Fire permits are also required for any open flame or pyrotechnics to be used at an event. Late fees do apply if you apply less than 10 days before your event. Please note that beginning in 2005, the Fire Marshal's office began billing for any site inspections of events required outside of daytime, business hours. Having a detailed and accurate floor plan and applying for your permit well in advance of your event may help you avoid site inspection charges. Staffing Our professional and customer friendly staff, from ushers and peer security to stagehands, sound technicians, and facility laborers, may be required for your event depending on your event parameters. Most staffing services are not included in your facility rental and will be billed to you at the conclusion of your event. Click here to see a list of Personnel Rates; most positions are paid for a minimum of 4 hours regardless of event hours. Your Event Service Representative will determine what staff are required for your event and will inform you about estimated costs. You may also request additional staff.
Taxes / Licenses Exhibit shows and events with an admissions charge require a City of Seattle business license (for both the show promoter and any exhibitors) and may incur admissions tax. Please contact the City of Seattle Department of Licensing to be sure your event is in compliance. Washington State tradeshow licenses and revenue tax may also apply; contact the Washington State Department of Revenue to inquire.
